  • Getting Started Guide: Circool for Parents
Welcome to Circool! We're glad you are here. Allow me to tell you a little bit about Circool. Circool keeps your kids safe at school events. Have you ever noticed during school events (plays, graduation, or any gathering) that there's rarely any checking of who gets through the doors? Do you trust that everyone there, really should be there? That's Circool's job. School staff and Parents select who attends school events. When a school creates an event, school staff selects which classes are invited to attend an event. Only parents with children in those grades will receive an invitation. Using Circool, parents can then invite known family and friends to attend the event with them. Only invited people, with tickets, can enter the event. School staff will use Circool to scan a code on all guests phone (that's you!) as you enter. We verify that each adult should be at the event and close to your kids. Kids are not required to have tickets. Good to know: Circool is best accessed from your phone in a web browser (Chrome or Safari)

Event Directions: Give your guests specifics on where to go once they get to the event location.. For example, "we will meet in the gym" or "please gather at the store entrance". Street Address, City, State, Zip: If the Location Search did not complete these fields for you, just add the address to the event. Your guests will be able to click on the address for turn-by-turn navigation to the event. Clicking "Save Progress" will save your event details, but not publish the event. This will close the Create New Event window and return you to the dashboard. You can find your event under the Today's Events or Upcoming Events tab. • Selecting Guests on New Event
Integration with Student Information Systems When we set up your school(s) on Circool, we synced up with your SIS to match students with parents/guardians and put the families in a circle (hence the name!). We also matched teachers with their corresponding school(s). This will allow you to select schools or grades to invite parents/guardians and teachers to events. Adding teachers and parents to a new event After you set-up the initial event details, you can then select your event guests. Simply check a single grade or All Grades. Checking a grade will select all the parents/guardians in that grade to receive an email invitation (once you send it). As you select grades and teachers, you you'll have a visual confirmation the recipients appear to the right. If you check the Teachers box, all teachers in the school will also receive an email invitation with the event details. You can find your event under the Today's Events or Upcoming Events tab. Clicking "Cancel" will not save any changes made to your event. For example, "Invitation to Community Circle on September 1". You can replace the default subject line with your own. 3. Message: This will be the body your invitation email you send . By default this is blank. A message body is not required, but helps your guests understand why the event is occurring. You do not need to add the date, time, location, etc. to the message, as our default template handles that for you. Event Email Template: 4. Publish: When you hit the Publish button, we will send an email each person listed in the Guardians and Teachers windows. The event is now live and ready for your guest to RSVP. • How we keep your data safe
Your data is your data. Circool does not, and will, not sell any user data. There are certain cases where we must share your information to help us operate Circool. Privacy Policies are typically long and boring, but here's our view: All of Circool’s use of data are in accordance with the Family Education Rights and Privacy Act of 1974 (FERPA) governing the use of student data. Circool receives all of its student data from your schools Student Information System. We only collect your child's name, current grade and school and all parents/guardians connected. That's it. As for parents, we will also ask for your name, email address, selfie pic, birthday, and phone number. If your school stops using Circool or your child no longer attends the school, your information is deleted out of our systems within 90 days. Your data is stored in Amazon Web Services - the most secure data centers in the world. When you're invited to new events or events changes, Circool will send you an email. We'll never spam you or sell your email address. Sometimes we'll send you non-event related emails (like your birthday) but you can always opt out. Sometimes, in very rare instances, we have to share the information in our databases with government entities. For example, if we have information on a crime or suspect in a crime, we have to open our doors. Luckily that doesn't happen often. If you need additional help, please email info@circool.com
